ICC Privacy & Show Policies

Every person entering the show floor or classroom must have an official InfoComm China badge.  

No one under the age of 18 will be admitted on the show floor or in session rooms. Show Organizer reserves the right to request identification for age verification purposes.

Attendees, medua and exhibitor personnel are prohibited from professional photography and/or video recording for commercial purposes of any booth due to the sensitive nature of new products, information, and unique booth displays at the show. Exceptions are made only when permission is obtained from the exhibitor whose booth/product is being photographed/videotaped and all individuals appearing in the photograph or video. Permission from all individuals being recorded is required for content sessions including but not limited to presentations, speeches, and classes. 

By registering for InfoComm China 2026, you consent to Show Organizer's collection and storage of the data on this form. Your registration and attendance at or participation in InfoComm China 2026 or other related InfoComm shows and other activities constitute your acknowledgement and agreement that you may be photographed or recorded by Show Organizer at any time during your attendance. It also constitutes an irrevocable agreement by you to InfoComm China’s unrestricted display, performance, publication, modification, and other use and distribution (both now and in the future) of your likeness, including but not limited to your image and voice, which may be captured in photographs, videotapes, electronic reproductions, or audiotapes by InfoComm China. 

If you allow exhibitor personnel to scan your badge during InfoComm China 2026, you permit Show Organizer and its partners to provide your contact information to exhibitors who may send you products or services that may be of interest to you.  If you do not wish exhibitors to receive your contact information, do not allow exhibitors to scan your badge.

Your registration and attendance at or participation in InfoComm China 2026 or other related InfoComm China activities constitutes your acknowledgement and agreement that you are bound by these Show Policies. 

We collect and process personal data about you when you interact with us and our websites, when you attend our conferences and events and when your company purchases services from us.

This includes your:

• name
• company
• business address
• email address
• business phone number
• mobile phone number
• WeChat ID (in China only)
• IP address (when interacting with us online)
• event photo
• event video
• Real-name verification

Sometimes, we receive information about you from third parties. In particular: we may receive some of the information specified above directly or indirectly from your company (for example because other employees of the same company are registered with us).

This includes your:

• name
• company
• business address
• email address
• business phone number
• mobile phone number
• WeChat ID (in China only)
• IP address (when interacting with us online)

We process this personal data for the following purposes:

• To manage our relationship with you
• To provide you with information regarding conferences and events which we are organizing
• To interact with you regarding conferences and events which you are, or intend to, attend
• As required by InfoCommAsia to conduct our business and pursue our legitimate interests where applicable, in particular:
  • We monitor use of our websites and online services, and use your information to help us monitor, improve and protect our products, content, services and websites, both online and offline;
  • We use information you provide to personalize our website, products or services for you;
  • We monitor customer accounts to prevent, investigate and/or report fraud, terrorism, misrepresentation, security incidents or crime, in accordance with applicable law;
  • We use information you provide to investigate any complaints received from you or from others, about our website or our products or services; and
  • We use data of some individuals to invite them to take part in market research;
• Where you give us consent:
  • We will send you direct marketing in relation to our relevant products and services, or other products and services provided by us, our affiliates and carefully selected partners;
  • We place cookies and use similar technologies and the information provided to you when those technologies are used; and
  • On other occasions where we ask you for consent, we will use the data for the purpose which we explain at that time.

Wherever we rely on your consent, you will always be able to withdraw that consent, although we may have other legal grounds for processing your data for other purposes, such as those set out above. In some cases, we are able to send you direct marketing without your consent, where we rely on our legitimate interests where applicable. You have an absolute right to opt-out of direct marketing, or profiling we carry out for direct marketing, at any time. You can do this by following the instructions in the communication where this is an electronic message, or by contacting us using the details set out below.

We will share your personal data with InfoCommAsia group companies for the same purposes as those specified above.

We will share your data with third parties who are assisting us with the provision or administration of conferences or events which you are attending or intend to attend.

Personal data will also be shared with third party service providers, who will process it on behalf of InfoCommAsia for the purposes identified above.

Personal data will also be shared with sponsors of conferences and events for a) statistical purposes to assess the effectiveness of sponsorship; and b) direct marketing. You have an absolute right to opt-out of direct marketing from sponsors at any time. You can do this by following the instructions in the communication where this is an electronic message, or by contacting us using the details set out below.

In the event that the business is sold or integrated with another business, your details will be disclosed to our advisers and any prospective purchaser’s adviser and will be passed to the new owners of the business.

Our business is located outside the EEA and therefore all personal data provided to us will necessarily be transferred to and processed, jurisdictions outside the EEA (including Singapore, Thailand, India, Cambodia, Vietnam, Malaysia, Myanmar, Laos, the United Arab Emirates and the Peoples’ Republic of China).

Where information is transferred outside the EEA, and where this is to a stakeholder or vendor in a country that is not subject to an adequacy decision by the EU Commission, data is adequately protected by EU Commission approved standard contractual clauses, an appropriate Privacy Shield certification or a vendor’s Processor Binding Corporate Rules.

Where we process registration data, we do this for as long as you are an active user of our sites and for three years after this.

Where we process personal data for marketing purposes or with your consent, we process the data until you ask us to stop and for a short period after this (to allow us to implement your requests). We also keep a record of the fact that you have asked us not to send you direct marketing or to process your data so that we can respect your request in future.

Where we process personal data for site security purposes, we retain it for three years.

The above periods may not apply in all cases, for instance we may need to lengthen or reduce the amount of time we keep the data, for legal reasons.

We reserve the right to amend this policy at any time. The Effective Date stated below indicates the last time this policy was materially revised. Any changes we may make to this policy in the future will be posted on our website. You are encouraged to review this page periodically to see any updates or changes to our policy.

China

Your consent
We process your personal data as defined in applicable Chinese laws, regulations and guidance subject to your consent. In addition to the circumstances set out in this privacy policy, we will first obtain your express consent prior to processing any sensitive personal data, and also in the following circumstances:

• Transfer of your personal data outside of China: Please see “location of processing/ international transfers” section below.
• Changes in this privacy policy: If we make changes to this privacy policy that affects your rights under this privacy policy, or if we change the scope of our processing of your personal data, we will first obtain your prior express consent.

Location of processing/ international transfers
Generally, we collect, process and store your personal data in China.  To the extent we transfer your personal data to another country (which may have data protection laws that are different to the laws in China), we will ensure that your personal data will be protected in a similar manner as it is in China. In particular, we will only transfer your personal data outside of China with your prior express consent or upon conducting security measures such as de-identifying your personal data prior to the transfer.

Your rights

If you are a data subject in China, you have the right to access, correct, or erase any personal data we have collected about you. You may delete or cancel any account you may have with us, and you may also withdraw your consent at any time for any data processing we do based on consent you have provided to us.

You may exercise your rights by submitting a written request to us at the address set forth in the “Contact Us” section.

Contact us
If you disagree with our decision, you may submit your complaint to [the China International Economic and Trade Arbitration Commission for arbitration. The seat of arbitration will be in China.  The arbitral award will be final and binding upon you and us.  The arbitration will be conducted in accordance with the CIETAC Arbitration Rules in effect at the date of the Request for Arbitration, subject to the following: (1) The arbitration shall be conducted in English and Chinese. All documents filed and all oral submission must be in English and Chinese. Any party wishing to rely on documentary or witness evidence which is not in both languages shall be responsible for providing an accurate translation or interpretation of the same to the other party and to the arbitrators, at the same time as the original language version is provided.  In the absence of such translation or interpretation, such evidence shall be disregarded. (2) There shall be one arbitrator. (3) You agree to the appointment of arbitrators from outside of CIETAC’s Panel of Arbitrators.
